The School at DW - Policies
SESSION STRUCTURE
The school year is divided into two semesters - Fall 14 weeks, Spring 16 weeks, followed by one 6-week summer session. Fall & Spring sessions consider Thanksgiving, Winter, and Spring Breaks as well as other National Holidays. Please refer to the School Year Calendar posted on our website for these dates. Dancers' Workshop does not hold regular school classes during the week of Winter Production and Progress Performance due to the school-wide demands of these productions.
Any students enrolled in classes that do not run for the full 14 weeks of the semester due to single day holidays or last minute cancellations on our part, are elligible for make up classes of a comparable level at any point during the semester. Please reach out if you feel you are elligible for a free makeup, and would like to schedule your makeup class.
REGISTRATION
Students enrolled in fall semester are not automatically enrolled in spring semester. Parents must re-enroll these students at dwjh.org once enrollment for spring semester opens in December. Classes will be filled on a first come/first serve basis. Once classes reach maximum enrollment, a waitlist will be formed. When the waitlist reaches 10 or more students, every effort will be made to form a new class. Conversely, classes with less than 5 students are subject to cancellation. All students registered in Basics or higher(3rd grade and above) are invited to participate in our annual Winter Production, you can register to participate in Winter Production via your parent portal just like registering for a class! The registration fee for this experience is $170 to cover the staffing, costs of the Center Theatre, and costuming needs. Winter Production fees will be posted to the paying account and charged on the date of the paying parent's next billing cycle. PAYMENT DUE DATES
Tuition fees may be paid at the time of registration through your Parent Portal, or the paying parent/guardian will be charged monthly dependent on the payment plan set up at the time of registration. Payment amounts are calculated based on a four-month billing cycle. If there is an issue with making payment, please contact the Front Desk.
OVERDUE ACCOUNTS
If a parent does not update their payment method in the Parent Portal, they will be notified and reminded that overdue accounts will result in the dis-enrollment of the affected student(s).
FINANCIAL ASSISTANCE
Dancers' Workshop offers financial assistance on a "need" basis and is available to students intending to enroll in both fall and spring semesters. Applications are due before the start of fall semester and are available here. Dancers' Workshop's partial to full financial assistance will be applied to both semesters. Once Financial Aid is applied, the paying parent/guardian will be billed monthly as discussed with the Dancers' Workshop Registrar.
PLACEMENT
Students who have previously taken classes in Level 1 or higher will be placed into the appropriate class for the coming year. Class assignments are determined by evaluation of the School Director and teaching faculty. A student may be moved to a higher or lower level during the year if the School Director determines the change is in the student's best interest.
REFUNDS
Class tuition is non-refundable for students who drop a class, except in the event of a medical emergency, in which case documentation is required. As payment is due in full at the time of registration, parents on a payment plan must continue to make payments if their student drops out of class for a non-medical reason. Dancers' Workshop will apply an account credit for the dropped sessions that is available for future use for up to a year.
During the COVID-19 pandemic, we will work with you to accommodate any concerns or absences due to COVID-related illness. Options can include credits, make-up classes, or refunds. We want to be as flexible as possible to allow you to make the best decision for the comfort, safety, and wellness of our students, families, and community.
DROP-INS
As long as the class is not full, we allow drop-ins for all classes. The drop-in fee is $25. Students must meet the age requirements to participate and have permission from the teacher and/or School Director.
MISSED CLASSES
For students who miss a class due to personal reasons, every effort will be made for them to attend a class of the same or appropriate level that is currently running on a different day of the week. Please contact the School Director to arrange the make-up class. No refunds will be given if a spot in another class is unavailable and the student was absent due to personal reasons. Refunds will only be given if a student's class is cancelled due to Dancers' Workshop's scheduling needs (and not posted on annual school calendar).
SUBSTITUTE TEACHERS
Dancers’ Workshop reserves the right to provide a qualified substitute teacher for all classes.
PARENT OBSERVATION
Classes have a closed-door policy to foster growth in class. One Parent Observation Class is offered during each Semester. You may watch classes outside the window of our studios. You may also call the School Director to arrange a formal in-class observation.
DRESS CODE AND ETIQUETTE
Dancers’ Workshop has documented rules of etiquette as well as a dress code. Upon registration, parents and students understand that they are a part of the DW family, which includes abiding by these rules and dress codes for a safe and enriching experience.
Students are expected to:
Show respect to the DW facility
Demonstrate kindness to self and others at all times
Share equally in group responsibilities and enthusiastically partake in all activities
Possess no weapons of any kind
Abstain from using alcohol, illegal drugs, or tobacco in any form
Exhibit no violent behavior, chronic misbehavior or actions that result in an unsafe situation for self and others
Communicate with DW Staff and fellow students in a positive and productive manner
Pick Up/Drop Off
Drop Off
Parents & guardians are responsible for dropping their child off for all kinder & youth classes. If your child is riding the activity bus for our after school program, we will have a staff member meet them at the Cache street drop off location for the first several weeks of classes to help them find their way into the facility. If your child still needs assistance to get from the activity bus into Dancers’ Workshop after the first 3 weeks of the semester, please reach out to make arrangements with us directly, and we are happy to accommodate.
Pick Up
Parents & guardians are responsible for picking up their children immediately upon the completion of their class. We ask that pickup takes place outside of the DW facility to avoid congestion in the hallways at the end of classes. If you are running late or require any alternate accommodations, you may reach out to discuss a specific plan for your child.
Pickup for My Grown Up & Me - Kinder 4
Parents/guardians should pick up their child directly from their studio upon the completion of their class. You are also welcome to wait for your child in the hallway for the duration of their class if desired.
Pickup for Kinder 5 - 7
Students in Kinder 5 - Kinder 7 will be walked down to the Glenwood loading dock entrance by their teacher to meet you. If you are not there to pick up your childs within 5 minutes of the class ending, they will be walked back upstairs to wait by the front desk until you arrive.
Pickup for Basics - Level 6
All students ages 8+ will be responsible for getting themselves to their pickup location upon the completion of class. Please reach out if you would like to request additional assistance for your child upon the completion of their class.
CONDUCT & BEHAVIOR
Dancers’ Workshop is a fully inclusive and nurturing environment with a zero tolerance discrimination policy. Any discrimination or bullying on the basis of age, race, gender, sex, religion, disability, sexual orientation, or any other personal trait will result in disciplinary action, and may result in removal from the school.
Dancers’ Workshop provides supervision inside the classroom for enrolled students and is not expected to monitor students in the hallways and throughout the building. The following rules must be adhered to:
In the Classroom
Be respectful.
Be in Dress Code.
No gum, food, or beverages (other than water)
No cell phones.
No chatting. Raise your hand
Ask the teacher your questions
In the Hallways
Be respectful.
No running or yelling.
Keep hallway and restrooms clean.
Use the storage cubbies for personal items.
Items left will be put in Lost and Found (see below).
Keep cell phone use to a minimum. No loitering in dressing rooms
DW is not responsible for students coming to or from class
WARNING AND EXPULSION SYSTEM
A student may be given up to three warnings for failure of adhering to Rules, Regulations, and Etiquette before the student is asked to leave Dancers’ Workshop for the remainder of the Semester or longer (all warnings will be documented). The parent will be informed of all warnings.
LOST AND FOUND
All items left in the facility are placed in Lost and Found (located in the Women’s Dressing Room). Items in the Lost and Found are donated to Browse n’ Buy on the last day of every month. Dancers’ Workshop assumes no responsibility for lost or stolen items. Leave your valuables at home.
SCHOOL SUPPLIES
All students are responsible for providing their own hair ties and hairpins for classes. Bun kits are available for purchase at the Front Desk.
