ADMINISTRATIVE ASSOCIATE

The mission of Dancers’ Workshop is to enrich lives by offering excellence and diversity in movement experiences through education, performance and outreach for students and audiences of all ages.

Dancers’ Workshop seeks an energetic team player with exceptional administrative skills who has, or desires to accrue, passion and expertise in fundraising. This position directly supports the organization’s Artistic and Executive Directors by providing a pathway to success for their day-to-day annual planning and execution. Responsibilities:

● Database Management and Gift Processing

○ Manages Salesforce donor database. This includes accurately processing on a daily basis all pledges, gifts and payments; training other staff; troubleshooting; researching; pulling, building and refining all lists.

○ Proactively ensures the integrity of the database via data cleanup and refinement of best practices.

○ Coordinates with Finance to ensure monthly and year-end contribution reconciliation and compiles timely data for reporting.

● Communications

○ Collaborates with AD and ED on all correspondence with donors, including gift acknowledgement, direct mail campaigns and emails, invitations, etc.

○ Works closely with AD and ED to build/maintain a strategic calendar of fundraising campaigns via direct mail and email.

○ Produces and tracks acknowledgement letters, invoices, renewals and other correspondence.

○ Works closely with AD and ED to fulfill donor benefits as well as donor lists for the website, donor rolls, etc.

○ Collaborates with Marketing department in regards to fundraising.

● Events Support

○ Builds calendar of daily, weekly and annual events which encourage strategic and systematic approach to relationship building.

○ Assists in the planning and execution of special events, including organization of ticketing for donors and VIPs.

● Fundraising

○ Manages wealth screening software to screen current donors/members and prospect for new names.

○ Potentially manages a portfolio of donors and will engage in all cycles of the donor cycle: cultivation, solicitation and stewardship.

○ Organizes and assists with annual grant writing efforts.

○ Supports department operations such as scheduling, collaborating on special projects, and performing other duties as assigned.
